The layout

What the Sectioned Summary layout looks like

A “Pay Summary” title at the top left lists the pay period, pay date and stub number. Employer and Employee columns sit to its right, each under a thin colored rule. Every section below is marked the same way: a small uppercase heading over a colored rule, with light lines between the rows.

Earnings runs full width with rate, hours, current and YTD, and lists any reimbursement under gross pay as not taxed. Deductions and Pay details share the next row: taxes and your own deductions on the left, and net pay, pay frequency, filing status, employee ID, pay type and how it was paid on the right. The Summary table closes the page, with the net pay row on a pale tint.

Best for

Who this template suits

Anyone who is asked for year-to-date figures, such as a renter filling in an application or a worker checking withholding before tax season: the summary table puts those numbers in two clear columns. The quiet ruled style also suits people who print in black and white, and there is a black-and-white color option.

Overview

About this sectioned summary earnings statement template

The Sectioned Summary Earnings Statement Template is a portrait statements layout: reads top to bottom, one full-width table per section. Clean ruled sections for earnings, deductions and pay details, then a current and year-to-date summary table.

From top to bottom it runs title with pay period, pay date and stub number, employer and employee columns, earnings with rate, hours, current and YTD and deductions next to pay details, and then the rest of the stub. You fill it in once in the builder, the taxes and totals are worked out for you, and the finished earnings statement downloads as a PDF.

Section by section

What each part of the Sectioned Summary shows

1. Title with pay period, pay date and stub number

It opens the Sectioned Summary. The title block names the document and carries its reference details. Keep stub numbers in sequence from one pay date to the next, as a payroll run would.

2. Employer and employee columns

The second block on the Sectioned Summary. Both sides of the payment in one place: the payer (company name, address, EIN) and the person paid (name, address, ID and the SSN masked to its last four digits). On the Sectioned Summary they sit together, so who paid whom reads in one glance.

3. Earnings with rate, hours, current and YTD

The third block on the Sectioned Summary. Earnings lines: hours × rate for hourly pay, one line for a salary, and separate lines for overtime, bonuses or tips. On the Sectioned Summary, the total of these lines is the gross pay.

4. Deductions next to pay details

The fourth block on the Sectioned Summary. What came out of gross pay: federal income tax, Social Security, Medicare, state and local tax where they apply, then your own deductions such as a health plan or retirement. The builder estimates the taxes; every line stays editable.

5. Summary table: gross pay, taxes, other deductions, reimbursement, net pay

The fifth block on the Sectioned Summary. A summary of the period: gross, deductions and net pay side by side, so a reader who only needs the totals finds them without reading every line.

6. Memo note, when you add one

It closes the Sectioned Summary. Optional lines. A memo prints as a short note (a bonus reason, a check number), and time-off balances print when you enter them; the Sectioned Summary leaves the space out when they are empty.

Colours

Sectioned Summary colours

The Sectioned Summary comes in Azure, Cobalt, Amber, Emerald and Black & white, with Azure as its standard colour. The colour you choose recolours the accents (section rules, headings and the net pay block); the figures and layout stay the same, and every colour is included in the price.

Document type

Why the Sectioned Summary is called an earnings statement

“Earnings statement” is the title many payroll departments print on the same document others call a pay stub or pay slip. The Sectioned Summary is drawn as a statement (a titled page with the period and the figures laid out formally), but it holds exactly what a pay stub holds: who was paid, for which period, gross pay, each tax and deduction, net pay and the year to date.

Best use

When to choose the Sectioned Summary

Line-by-line checking

Every section of the Sectioned Summary is its own full-width table, so you can check it top to bottom against a timesheet or bank record.

Employees on payroll

The Sectioned Summary prints the full set of withholding lines (federal, Social Security, Medicare, state) for a W-2 employee’s stub.

A formal statement

The Sectioned Summary’s statement title and layout suit a stub that is filed with other paperwork or handed to someone else.

Several pay periods in a row

The Sectioned Summary prints year-to-date figures in “Earnings with rate, hours, current and YTD”, so a run of consecutive stubs shows the year building up period by period.

Compare

How the Sectioned Summary compares

The Sectioned Summary belongs to the Portrait statements family, with Stacked Sections, Letter Mailer, Stacked Ledger and Bar Stack. They share the same overall order; what sets the Sectioned Summary apart is clean ruled sections for earnings, deductions and pay details, then a current and year-to-date summary table.

Print and PDF

Printing and reading the Sectioned Summary

Because every table runs full width and reads top to bottom, it scrolls naturally on a phone and prints on a single portrait page for most pay periods. The PDF is made from the same layout you see in the preview, so what you check is what you get.

Need several periods? The multi-stub builder makes consecutive stubs in this layout with year-to-date totals carried forward, and the sample pay stub walks through every line with real figures.

Checks on a finished Sectioned Summary

  1. In “Earnings with rate, hours, current and YTD”, rate × hours equals each line, and the lines add up to gross pay.
  2. In “Deductions next to pay details”, every tax and deduction you expect is listed once, with its correct name.
  3. In “Summary table: gross pay, taxes, other deductions, reimbursement, net pay”, net pay equals gross pay minus total deductions (plus any reimbursement) and matches the deposit.
  4. In “Earnings with rate, hours, current and YTD”, year-to-date totals include this period and step up correctly from the previous stub.
  5. Names, addresses and the pay date are spelled and dated as on your records.

How it works

How to fill in the Sectioned Summary template

Add the pay period, pay date and each kind of pay; the lines fill “Earnings with rate, hours, current and YTD”.

4

Check the estimated taxes and add your own deductions (they print in “Deductions next to pay details”); every amount can be edited.

5

Pick a colour (Azure, Cobalt and Amber or another), preview the whole stub, then download the PDF.

FAQ

Sectioned Summary Earnings Statement Template questions

Is the Sectioned Summary a pay stub or an earnings statement?

It is titled as an earnings statement, and it holds the same record either way: who was paid, for which period, gross pay, taxes and deductions, net pay and the year to date.

What colours does the Sectioned Summary come in?

Azure, Cobalt, Amber, Emerald and Black & white. The colour changes the accents only, and every colour is included.

Does the Sectioned Summary show year-to-date totals?

Yes. The “Earnings with rate, hours, current and YTD” part carries the year-to-date figures. Make several consecutive stubs at once and the builder carries the totals forward from one period to the next.

Contractor / 1099 mode works with every template and turns off withholding. For headings that read Payer and Contractor, pick a template tagged Contractor-ready, such as Stacked Ledger.

No. The Sectioned Summary is filled in online and delivered as a finished PDF, with the taxes and totals worked out. You can preview it free before you pay.

Can I preview the Sectioned Summary Earnings Statement Template before creating a paystub?

Yes. This page shows a sample of the template, and the builder shows your own figures in it live before anything is paid for.

Can I switch from the Sectioned Summary to another template later?

Yes. Your details stay in the builder when you change templates, so you can compare layouts with your own figures before you download.
