The layout

What the Hairline Bands layout looks like

Employer and Employee sit side by side at the top, each under a small colored chip, with the SSN and employee ID under the employee. The right side has an “Earnings Statement” title and the pay facts: pay period, pay date, stub number, frequency, filing status and how the pay was made.

Three tables follow and share one set of columns, so the figures line up down the page. Income lists hours, rate, current and year to date, and ends on a tinted gross taxable pay band. Taxes and deductions ends on a tinted total deductions band. A separate net pay band with a colored edge shows current and YTD net pay, with any non-taxable reimbursement just above it.

Overview

About this hairline bands earnings statement template

The Hairline Bands Earnings Statement Template is a portrait statements layout: reads top to bottom, one full-width table per section. Employer and employee under small color chips, then income, deductions and net pay tables with hairline rules and tinted total bands.

From top to bottom it runs employer and employee under color chips, title and pay facts, income table with the gross pay band and taxes and deductions table with the total band, and then the rest of the stub. You fill it in once in the builder, the taxes and totals are worked out for you, and the finished earnings statement downloads as a PDF.

Section by section

What each part of the Hairline Bands shows

1. Employer and employee under color chips

It opens the Hairline Bands. Payer and payee together. The Hairline Bands prints the business with its address and EIN next to the person paid, with an ID and a masked SSN; in contractor mode these read as payer and contractor on layouts that support it.

2. Title and pay facts

The second block on the Hairline Bands. The document’s name and reference: the title the Hairline Bands prints, with the stub number and, where the layout has them here, the pay frequency and filing status. A unique stub number makes each copy easy to refer to.

3. Income table with the gross pay band

The third block on the Hairline Bands. Earnings lines: hours × rate for hourly pay, one line for a salary, and separate lines for overtime, bonuses or tips. On the Hairline Bands, the total of these lines is the gross pay.

4. Taxes and deductions table with the total band

The fourth block on the Hairline Bands. What came out of gross pay: federal income tax, Social Security, Medicare, state and local tax where they apply, then your own deductions such as a health plan or retirement. The builder estimates the taxes; every line stays editable.

5. Reimbursement line, when there is one

The fifth block on the Hairline Bands. Reimbursements and other non-taxable pay are kept apart from wages, so they raise net pay without changing the taxable gross.

6. Net pay band with YTD, and a memo note

It closes the Hairline Bands. Net pay, the amount actually paid: gross pay minus every tax and deduction above, plus any non-taxable reimbursement. It should match the deposit to the cent.

Colours

Hairline Bands colours

The Hairline Bands comes in Chambray blue, Cobalt, Navy, Tide blue, Emerald, Berry, Slate grey and Black & white, with Chambray blue as its standard colour. The colour you choose recolours the accents (section rules, headings and the net pay block); the figures and layout stay the same, and every colour is included in the price.

Document type

Why the Hairline Bands is called an earnings statement

“Earnings statement” is the title many payroll departments print on the same document others call a pay stub or pay slip. The Hairline Bands is drawn as a statement (a titled page with the period and the figures laid out formally), but it holds exactly what a pay stub holds: who was paid, for which period, gross pay, each tax and deduction, net pay and the year to date.

Best use

When to choose the Hairline Bands

Line-by-line checking

Every section of the Hairline Bands is its own full-width table, so you can check it top to bottom against a timesheet or bank record.

Employees on payroll

The Hairline Bands prints the full set of withholding lines (federal, Social Security, Medicare, state) for a W-2 employee’s stub.

A formal statement

The Hairline Bands’s statement title and layout suit a stub that is filed with other paperwork or handed to someone else.

Several pay periods in a row

The Hairline Bands prints year-to-date figures in “Net pay band with YTD, and a memo note”, so a run of consecutive stubs shows the year building up period by period.

Compare

How the Hairline Bands compares

Print and PDF

Printing and reading the Hairline Bands

Because every table runs full width and reads top to bottom, it scrolls naturally on a phone and prints on a single portrait page for most pay periods. The PDF is made from the same layout you see in the preview, so what you check is what you get.

Need several periods? The multi-stub builder makes consecutive stubs in this layout with year-to-date totals carried forward, and the sample pay stub walks through every line with real figures.

  2. In “Taxes and deductions table with the total band”, every tax and deduction you expect is listed once, with its correct name.
  3. In “Net pay band with YTD, and a memo note”, net pay equals gross pay minus total deductions (plus any reimbursement) and matches the deposit.
  4. In “Net pay band with YTD, and a memo note”, year-to-date totals include this period and step up correctly from the previous stub.
  5. Names, addresses and the pay date are spelled and dated as on your records.
